The Administrative Assistant is responsible for the general operation of our office(s). They will provide administrative support across multiple disciplines including Onboarding, Recruitment, Policies and Procedures, File Management, HR system support, Facilities Support, etc. The Administrative Assistant will serve as liaison between BTS Offices, Human Resources and Management to ensure work is completed in accordance with HR processes. The ideal candidate must be highly professional, personable, and able to excel in a fast-paced environment.   - Review security monitors, with escalation to the Facilities Manager. - Responsible for the full lifecycle of contractors and vendors (BPAV), which includes but is not limited to the on-boarding, offboarding, SOX compliance and tracking, follow-up, changes/updates, etc. for BTS vendors and contractors. - Assists with the coordination of candidate interviews as needed. - Assists with New Hire On-boarding processes. - Processes incoming and outgoing mail as needed. - Assists with preparing outgoing FedEx/UPS packages. - Maintains inventory of office supplies and places orders from appropriate vendors as needed. - Maintains company seating chart, and manages requests for workstation/office designations and moves, name plates, etc. - May coordinate travel for senior level management. - Provides overall administrative support. - Prepare communications, such as memos, emails, invoices, reports, and other correspondence. - Assists with meeting and event planning, catering coordination, and conference room preparation and management. - Manages the front desk area; greets and directs visitors, including vendors, job candidates and customers. Issues appropriate badges for visitors, contractors, etc. as needed. - Answers incoming calls to the switchboard, determines purpose of callers and forwards calls to appropriate staff or department. This includes emergency documentation to be used by each floor monitor. Will serve as a Coordinator during evacuations/drills and perform accountability checks during these events. - Monitor security cameras throughout the Data Center/Office facility and escalate issues, as necessary. This person will be trained in the use of panic devices throughout the facility and how to manage these situations. - Other duties as assigned.
