The Conference Coordinator role is a critical component of the Marketing team. The person in this role will work to communicate and coordinate all conferences, meetings, events, and engagements with insurance organizations and agency partners. The successful candidate will participate in the planning and coordination of duties leading up to, during and following events and conferences.


  • Respond to requests and questions from event organizers and provide necessary information.
  • Coordinate and execute the logistics, agreements, sponsorships, registrations, proposals, invoices and payments for all events and conferences.
  • Serve as the primary resource for general event/conference planning issues and approvals, protocol and administrative policies related to events, room reservations and meetings.
  • Attend and travel to events to facilitate/coordinate successful operations of booth and marketing materials, serving a point-person for impromptu troubleshooting during the events and conferences.
  • Work closely with communications team and VP of Sales, Marketing & Distribution to send eblasts regarding events and conferences to agency partners.
  • Ensure adequate Underwriting and Distribution Executives are attending events and coordinate meeting place, dinners, networking receptions and transportation.
  • Maintain files, records and database on event details and attendees.
  • Additional duties as assigned.


  • Basic knowledge of computer programs in a Windows environment, Including Word, Excel, PowerPoint and email.
  • Skilled in prioritization, organization, detail orientation and ability to meet deadlines.
  • Strong written and verbal skills.
  • Motivated and outgoing personality.
  • Strong ability to act under pressure.
  • Receptive to new ideas and willing to pivot if necessary.
  • Ability to work independently and in a team environment.
  • Bachelor’s degree or equivalent combination of education and experience is preferred.
