Responsibilities

The Receptionist will use the phone console to answer incoming calls and direct callers to the appropriate team members.  Specific usage of the related tools; Receptionist Handbook, Jabber, along with Outlook Receptionist group email instructions will provide proper call distribution for the in-office team members and work groups respective to the callers’ customer service inquiry level.  Related tasks common to the Receptionist role will include front desk coverage to assist in supporting a consistent best first impression of services and facility for the end customer.  Receptionist will greet visitors and support their contact to appropriate team members. 

 

 

Duties


• Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
• Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
• Answers questions about organization and provides callers with address, directions, and other information.
• Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
• Retrieves messages from voice mail and forwards to appropriate personnel.
• Provides overhead paging for Company announcements and employee emergency calls.
• Creates night and early close greetings as needed.
• Updates visitor information and provides a professional first impression to visitors.
• Participates in key roles during Fire Drill training practice with FMOS Team members. Maintains readiness of materials in the event of an emergency with current occupant listing and procedures to engage.
Participates in the Office Service daily workflow types as assigned which compliment Team efforts, support in mass mailings and other correspondence needs.

 

 

Requirements

 

• High School Diploma or equivalent

 

 

Working Conditions and Physical Requirements

 

• While performing the duties of this job, the employee is typically required to sit and talk or hear. The employee is infrequently required to stand; walk; reach with hands and arms and stoop, kneel, crouch, or crawl.

• The employee must occasionally lift and/or move up to 10 pounds.

• Specific vision abilities required by this job typically includes close vision, occasional use of depth perception, and infrequent need for distance vision, color vision, and ability to adjust focus.

• The noise level in the work environment is usually moderate.

• Most functions of this position are completed while sitting at one’s desk and working on a computer.

  • Receptionist experience helpful.
  • Good Telephone communication skills and familiarity with Outlook along with console type Telephone systems.
  • Basic to intermediate knowledge of Word and Excel.
