    The Administrative Receptionist will work with all of the teams to play a key role in managing certain functions in the office and presenting the face of the local Berkley companies. This role is responsible for providing front office reception and administrative duties for multiple growing businesses.


    The ideal candidate is motivated, outgoing, deeply responsible, organized and detail-oriented. The candidate sees what needs to be done and takes the initiative to do it.


    What you will do


    • Act as first point of contact for all visitors, determine nature of business, and announce visitors to appropriate personnel. Monitor visitor access and issue passes when required, coordinate visitor parking
    • Coordinate mail and express package delivery for the office. Process and distribute all mail in a timely and appropriate manner according to company guidelines. Check and sign for deliveries, distribute packages accordingly. Ensure that postage machine is charged and maintained
    • Order, receive and maintain office supplies and necessities (coffee, snacks, business cards, printing, various office supplies, copier/printer/scanner maintenance, shredder pick-up, etc.). Ensure that both kitchen and supply rooms are fully stocked at all times
    • Provide logistical support to in house meetings, to include preparation of meeting and conference rooms and assist in arrangements for catering, including set-up and clean-up
    • Manage multiple calendars, reserve conference rooms; organize and schedule appointments and conference calls accordingly
    • Organize and book travel arrangements for senior managers and others as requested
    • In collaboration with IT, coordinate work space, computer and supplies for new employees
    • Review and update on a regular basis the telephone list, call tree, Continuity Plan, Contingency Plan, organization chart, seating chart, office rosters, HR bulletin boards
    • Act as a liaison with building management, as required, coordinating all building passes for Home Office employees, building access and communications regarding building announcements and services
    • Contribute to team-wide communications and participate in organization events and discussions on related topics and projects
