Responsibilities

The Facilities Administration Team Lead organizes and coordinates office operations, procedures, and events. This position is responsible for the safety, security, maintenance and services of work facilities to ensure that they meet the needs of the organization and its employees to effectively manage office operations and procedures. Focus on a broad-based, people-centric agenda including workplace best strategies, wellness, and employee engagement. 

 

  • Supervises multi-disciplinary teams of vendors including but not limited to security, cleaning, maintenance, general contractors, mail, shipping, and employee facility perks.
  • Be the first point of contact for questions for team members and follow up on completion of daily tasks.
  • Take the lead for the implementation of health and safety requirements for facilities.
  • Participation on the business continuity planning team.
  • Carry out regular checks of space to ensure safety and security, as well as ensure that basic facilities, such as plumbing, HVAC, and security are well-maintained and operational for staff to meet heath and security standards.
  • Plan and schedule preventative facility maintenance plans.
  • Available on-site to assist with service walkthroughs such as alarm, facility vendors, or HVAC vendors.
  • Manage budgets and advise the business on cost-effectiveness and facility developments.
  • Monitor and maintain accurate records of work orders, including invoices and related files.
  • Foster a highly engaged workforce by coordinating and implementing strategies that promote a positive company culture through supporting the execution of scheduled employee engagement events.
  • This role will also provide support for employee engagement by tracking expenses, scheduling meetings, working with vendors, preparing presentations, and taking minute notes.
  • Proactively collaborate with staff, department heads, branches, and other stakeholders regarding engagement activities and facility-related initiatives.
  • May be required to answer/route calls, process incoming mail, and prepare outgoing mail as needed as a backup.
  • Assists with Overseeing building projects, renovations, and furniture decommission/refurbishments.
  • Assists on decisions surrounding space improvements and if applicable, lease decisions.
  • Assists with ensuring consistency and conformity to facility protocols across all office locations.
  • Other projects as assigned.

Customer Service

  • Work as a liaison between office services and other departments.
  • Proactively identify potential issues and provide solutions to concerns.
  • Responds quickly to questions and requests and responds to service inquiries politely and efficiently.

Communication

  • Display clear and concise verbal and written skills.
  • Communicate technical information effectively to non-technical audiences and present information in a skillful and enthusiastic manner.
  • Demonstrate effective listening skills.
  • Relay necessary information to other team members regarding concerns or pertinent information.

Qualifications

  • Bachelor’s Degree preferred.
  • Previous office experience preferred, with a focus on facilities management and office services.
  • Communication and influencing skills, both in person and in writing.
  • Proven critical thinking and problem-solving skills.
  • The ability to lead and manage teams and projects, while also bridging the gap of departmental coordination.
  • Attention to detail but also the ability to see the implications for the bigger picture.
  • Excellent customer service and decision-making skills.
  • Organization, time management, prioritizing and the ability to handle a complex, varied workload.
  • Ability to maintain a high degree of confidentiality.
  • Ability to work independently and in a team environment.
  • Physical stamina to handle active and mobile work.
