Responsibilities

Under moderate supervision, service clients with insurance policies written for Berkley Connect trading partners.  You will also be responsible for providing clerical support, planning office events, support projects, receiving clients and visitors, arranging travel and correspondence, office management activities and scheduling meetings.  

This position will be assessed based on customer focus, productivity, accuracy and thoroughness, and the ability to learn and apply new skills. This position is part of a dynamic team environment requiring high levels of collaboration and partnership.  We are looking for someone who is highly motivated, a self-starter, organized, and has a positive outlook, along with a natural drive to grow, problem solve and think outside the box.

Successful candidate will have strong collaboration skills and the ability to handle multiple assignments within a professional working environment. Must possess a sense of ownership and be accountable for their work.

 

You will be responsible for managing ongoing office operations, ensuring smooth functioning, and supporting various departments as needed.

 

  • Work closely with the Berkley Connect Broker and Account Management team to service insurance policies written for Berkley Connect trading partners with Berkley sister companies.
  • Act as a single point of contact for agents, underwriters, and clients who have placed business with Berkley Connect, including Berkley Aspire and other operating units.
  • Manage multiple customer interfaces, including phone, chat and email, respond in a timely and professional manner.
  • Develop ability to answer “Level 1” questions, and understand where to refer more complex questions requiring specialist expertise.
  • Enter and maintain policy transactions in Berkley Connect’s Agency Management System.
  • Interact with external brokers and internal underwriters and other stakeholders to process service requests.
  • Ensure compliance with Surplus Lines regulations in the placement of Surplus Lines policies.
  • Assist in the completion of agency appointments and contracts for new Berkley Connect trading partners.
  • Maintain and update agency appointments as needed.
  • Complete special projects assigned by management.
  • Provide clerical and general office support.
  • Manage office supplies, beverages, and snacks, ordering and restocking as necessary.
  • Maintain office equipment and coordinate repairs and maintenance.
  • Organize team communications and plan events, both internal and off-site.
  • Prepare and develop a records management system for office-related items; maintain and recommend changes to the records management system when appropriate.
  • Meet and greet guests, agents, and vendors.
  • Organize and schedule seating arrangements and badging for team members and guests visiting the Ohio office.
  • Coordinate entry for visitors, vendors, service repair workers, and other external guests.
  • Assist in the onboarding process for new hires, including setting up workstations, orientations, and nameplates.
  • Provide support for conference room setup for meetings, including lunch, AV needs, and supplies.
  • Manage email distribution lists and ensure accurate and timely communication.
  • Assist in mailing functions, including agent/insurance correspondence, document sorting, shipping prep for USPS, UPS, and Fedex, postmarking billing statements, agent documents, and other correspondence as requested.
  • Coordinate with external vendors, contractors, and service providers and manage contract lifecycles.

Qualifications

  • High school diploma or equivalent. Some College preferred. 
  • Sound judgment and decision-making skills.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Must be able to meet deadlines in a fast-paced, quickly changing environment.
  • Experience in planning and executing conferences and meeting details.
  • Ability to organize a daily workload by priorities.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Must have minimum of 3 years administrative assistant experience in office environment.
  • Must be proficient in computer skills to include; Word, Excel, Power Point and Outlook.
  • Communication skills which allow interaction with others in a professional manner, both verbal and written.
  • Pleasant telephone communication skills.
